From the Account Views screen, select the New Account link located on the left-side of the screen just above the listing of accounts.
The following form will then be displayed:
The program allows you to enter an account code for each account. This can be anything from the name of the company to a customer code used by your accounting department. [Note: Do not use an & (ampersand), ‘ (single quote), or a # (pound sign) in the Account Code].
Enter the name for the account. This would normally be a company name. [Note: Do not use an & (ampersand), ‘ (single quote), or a # (pound sign) in the Account Name].
Here you can enter a sorting code that is used to display your accounts in alphabetical order. For example, if you had an account such as ‘The Sample Company’ the sort code would allow you enter ‘Sample Co’ and therefore display the account in the ‘S’ listings instead of the ‘T’ listings.
You can also enter any comments you would like to see when viewing the details for the account.
If the new account (company or person) has a web site, you can enter their web address here.
If the new account (company or person) has a general company email address, such as firstname.lastname@example.org you can enter it here. (Specific email addresses of any contacts will be entered later when you add new contacts to this account).
Account Type and Subtype
To select an account type, click on the icon and select the account type from the list that is presented to you. The account type helps identify accounts, such as service, manufacturing, etc. Accounts can also be categorized further by using the Subtype field located just to the right.
Industry Type and Subtype
To select an industry type, click on the icon and select the industry type from the list that is presented to you. The industry type helps identify accounts such as Medical, Automotive, Aviation, etc. The industry type can also be categorized further by using the Subtype field located just to the right.
To select an account rating, click on the icon and select a rating from the list that is presented to you. A rating is a description you use to describe the quality of the account, or the priority of the business potential, such as Hot, Cold, etc.
You can enter the company’s ticker symbol here.
Enter the address for the new account.
If you wish to assign the account to a specific individual in your firm, such as a sales representative, you can enter their User Id manually, or click on the icon and select their User Id from a list. By default, the User Id of the person creating the account is automatically entered into the field.
To save the entries and add the new account, select Finish. The program will return to the previous screen and display the updated list of accounts.
Select Cancel if you want to discard any changes and return to the previous screen.
Your system administrator can maintain and customize the list of available options for the Account Type, Account Subtype, Industry, Industry Subtype, and Rating to match the needs and standards used by your company. These lists are maintained in the Setup area.
